Income Withholding Tax Review

1. Log into your HR/Pay account.
2. Navigate to the Payroll Dashboard tile.
3. Click on the Paycheck Preview tile.
4. Once the list of paystubs populates, click anywhere in the row of your most recent paystub.
5. Look in the upper right corner to locate the Tax Data and Taxes sections.
6. Confirm the state listed for withholding is where you are physically working.
   1. If not, contact Payroll at payroll@ku.edu for required next steps.
   2. If you are an employee working out-of-state or multiple states, see additional information below.

Please note, updates are not required unless your state withholding location is incorrect.

Do you reside in one state and work in another state?

• The state listed in the Tax Data row will show the state where you reside.
• You should see the state withholding tax in the Taxes section for the state where you are physically working.

Out-of-State Employees:

• Is the state listed correctly?
• Are you aware of any county or city local taxes that are not being deducted from your paycheck?
• Has your work location changed since you had your out-of-state taxes set up?
• Is the address on your paystub correct?

3. Click the W4 Tax Withholding Classic tile.

Please note, the Federal status listed on your paystub may not accurately reflect your status as it does not provide dependent amounts entered on the W-4.  It is best to review your status in the W4 tile.

Kansas Income Tax and K-4

Out of State Employees

Federal W-4 Form and Additional Information

Unfortunately, online updates are not available.

Kansas Employees:

Submit a new K-4 form to Payroll by email, mail, or in-person.

Emails should be encrypted for security purposes.

Out-of-State Employees:

• Find your state's Department of Revenue website and search for the "Employee Withholding Certificate."
  • Not all states have income tax.
• Submit your state's form to Payroll.
  • Not all states have their own form.
  • Please email Payroll if you need assistance in finding your state's employee withholding form.

Form Submission:

• Email to payroll@ku.edu
  • Emails should be encrypted for security purposes.
  • If you do not have encryption, you may include the last 4 digits of your social security number rather than your full social security number.

You can update your status online or by submitting a new W-4 form to Payroll.

Online:

4. Update the information as needed.

W-4 Form:

• If you completed an update online, you do not also need to submit a form.
