Get your W-2
The State of Kansas issues W-2's by mail or through an online portal. The University of Kansas does not have access to print W-2s for employees.
Online:
Log into the State of Kansas Employee Self-Service portal and follow the W-2 online instructions.
Your access to the State of Kansas Employee Self-Service portal continues for 18 months after leaving state employment, regardless of the reason for separation.
By Mail:
Your W-2 will be mailed to the mailing address on file with Human Resources. If a mailing address is not on file, it will be sent to the home address. Update your address.
If you had previously given consent to receive your W-2 electronically, it will not be mailed to you unless you withdraw consent.
Duplicate Copy:
If did not receive your W-2* and prefer not to access it online, you can send a request in writing to the Payroll Office or by email to payroll@ku.edu. Your W-2 will be mailed by the State of Kansas within 2 weeks.
Include the following:
- Full Legal Name
- Address (your W-2 will be mailed here)
- Last 4 digits of your social security number
- Year(s) of W-2 requested
*For the current year W-2, please allow time for your W-2 to arrive before requesting a duplicate copy. They will be mailed by January 31st.
If you are unsure if your W-2 was mailed, you can log into the State of Kansas Employee Self-Service site and check your consent status by following the online instructions above. If you had previously given consent to receive your W-2 online, it will not be mailed to you.
Retired or Former Employees
Employees who have retired or separated from State service continue to have access to receive their W-2 forms electronically for 18 months following separation, via The State of Kansas Employee Self-Service portal. However, each retired or separated employee must sign back into Employee Self-Service and consent to receive their W-2 electronically. If this consent is not resubmitted, a paper W-2 will be generated and mailed to the former employee.
