W-2 Information

The State of Kansas issues W-2s by mail or online.  The University of Kansas does not have access to print W-2s.

By Mail:

Your W-2 will be mailed to the mailing address Human Resources has on file.  If no mailing address is given, it will default to the home address on file. Update your address.

If you had previously given consent to receive your W-2 online, it will not be mailed to you unless you withdraw consent.

 

Online:

Log into the State of Kansas Self Service website.  Online W-2 Instructions

Your access to the State of Kansas Self Service website continues until 18 months after leaving state employment.

 

Duplicate Copy:

If you are a current employee or were in the past 18 months, you can access your W-2 online at any time once they are available, including previous years. 

You can send a request in writing to the Payroll Office or email payroll@ku.edu.  Your W-2 will be mailed by the State of Kansas within 2 weeks.

Include the following:

  • Full Name
  • Address (your W-2 will be mailed here)
  • Last 4 digits of your social security number
  • Year(s) of W-2 requested

Inactive Employees

W-2s will automatically be mailed to employees who are no longer with KU, regardless of reason for separation.  Inactive employees also have access to the State of Kansas Employee Self-Service site for 18 months after leaving employment to get their W-2 online.
